Service operations

From website enquiry to paid invoice.

1. Price your work once

Build a service catalog and price book — services, labor rates, materials, equipment, and fees. Quotes and jobs pull from it so pricing stays consistent across your team.

2. Turn quotes into jobs

An accepted quote converts to a work order in one click, line items intact. Walk-in work? Create a job directly, or convert an existing booking.

3. Schedule and dispatch

Day and week calendar views, an unassigned-job queue, and click-to-assign dispatch. Double-booking a team member produces an explicit conflict warning.

4. Deliver, invoice, get paid

Your team moves the job through en route, in progress, and completed — each step timestamped on the job timeline. Completion converts to an invoice with the same line items.

What's included

The operating layer between the lead and the payment.

Jobs & work orders

Numbered work orders with customer, address, instructions, line items, and internal notes — plus a validated status pipeline from draft to invoiced.

Schedule & dispatch

A team calendar with an unassigned queue and per-assignee conflict warnings, so nothing falls through and nobody is silently double-booked.

Service catalog & price book

Services, labor, materials, equipment, and fees with units and prices. Archive old items safely — documents that reference them never change.

Quote → job → invoice

Conversions carry line items forward and are idempotent — converting twice never duplicates a job or an invoice.

Team assignment

Assign jobs to team members with in-dashboard notifications. Staff work their own job list; managers dispatch and oversee.

Job timeline & KPIs

An append-only record of every status change, assignment, and note — and overview cards for jobs today, unassigned work, completions, and invoiced vs collected.

Built into Services, not bolted on.

Webb9 service operations use the same customers, quotes, invoices, and team roles as the rest of your dashboard. There is no second system to sync, no per-technician per-month surprise pricing, and no export-import dance between your website and your field work.

FAQ

Services questions.

What is Webb9 Service Operations?

The layer between winning a customer and getting paid: jobs and work orders, a schedule and dispatch calendar, a priced service catalog, and one-click conversions from quote to job and from completed job to invoice — all inside the Webb9 dashboard your leads already flow into.

How does a lead become a paid job?

A lead becomes a quote; an accepted quote converts to a job with its line items carried over; the job is scheduled and assigned; when it is completed, one click creates the invoice from the same line items. Every step is recorded on the job timeline.

Can my technicians or staff use it?

Yes. Team members are assigned to jobs and get a dashboard notification; staff see and update only the jobs assigned to them, while managers and owners see everything. Roles are enforced server-side, not just hidden in the interface.

What stops us from double-booking someone?

The schedule checks every reschedule against each assignee’s existing jobs and warns about overlaps. A dispatcher can still choose to double-book deliberately — the platform makes it visible, not impossible.

What happens when I change a price in the price book?

Nothing happens to documents you already created. Quotes, jobs, and invoices snapshot their line items when they are made, so a catalog price change never silently rewrites an existing quote or invoice.

Which plans include service operations?

Jobs, scheduling, dispatch, price books, and quote-to-invoice workflows are included on Grow plans and above. They are part of Webb9 Services, not a separate subscription or third-party integration.
